#### Incident Handling Procedure

When we receive a report to [[email protected]](mailto:[email protected]) we will treat the issue depending on the severity. The severity of the incident will be guided by reviewing the incident itself and the complaint. There are three levels of severity:

* Minor — accidental or unwitting violations of the code of conduct
* Major — clear violation of the code of conduct
* Massive — violations that make anyone feel unsafe

This is not a 3-strikes system; if a first offense is deemed “Massive” the response will be in line with that. However, if someone exhibits a pattern of “Minor” offenses we will proceed to “Major”, and ultimately “Massive”, responses. Our responses to these severity levels will be:

* Minor — we will privately let the culprit know they are in violation and remind them to re-read the code of conduct
* Major — as above, plus we will place the culprit on moderation and publicly announce this
* Massive — we will let the culprit know and announce publicly that we are banning them from participating in LRUG

Banning and moderation will be across all online and offline spaces that LRUG has the ability to control. Online this most obviously means the mailing list, but we will also try to apply this Twitter, Github, IRC and other places that LRUG members communicate. Offline this means we will request our venue hosts to disallow those people access to our events where possible.

## Mailing list

The mailing-list can be found at [lrug.org/mailing-list](http://lrug.org/mailing-list). From here you will be able to sign up, manage your account, and view the archives. The traffic is quite variable; on some days there'll be no messages, other days there'll be several independent threads with many active participants.

The list exists to let the community stay in touch outside of the monthly meetings, but is open to all whether they have attended one of our meetings or not. An average LRUG meeting attracts 100 or so people, but the list has over 1,000 members. Be mindful of that fact when you send your messages: you're not just sending an email to a handful of friends. Note that these two rules will require us to change the software that the list is provided by. We currently use a mailman instance provided by the hosting provider (dreamhost) that the lrug.org domain is on. We don't really have full control of the archives, and even if we did, we can't lock or moderated individual threads because it's not something that mailman does. We're looking at moving to google groups or some other software solution, but we need to announce and plan that migration.


When participating in the mailing list remember that it’s a text only medium so it is very easy for your humour to be misinterpreted. You should err on the side of clarity and remember that the LRUG mailing list is not the place to try pushing the boundaries of edgy humour.

Archives of the list are public; if you post something that you wish you hadn't let us know at [[email protected]](mailto:[email protected]) and we'll have it removed from the archives.

Consider using tags in the subject line to let people know what your message is about. For example consider using: ``[ANN]`` to announce something, ``[JOBS]`` for a job ad, ``[COURSES]`` for a training course, ``[OT]`` for something that's not specifically about Ruby. This (other than [``[JOBS]``](#job-ads)) isn't a strict rule, but it can be helpful to flag your message for the type of content.

### Job Ads

Job ads are allowed on the mailing-list however, there are some rules and tips you should bear in mind when posting. Following these will hopefully maximise your chance of getting useful replies, and minimise the chance of affecting the signal-to-noise ratio of the list as a whole.

#### Put ``[JOBS]`` in the subject

There are some people who are definitely not interested in any opportunities. You can help them by adding ``[JOBS]`` to the start of your subject line, which they can then use to filter your email appropriate.

If you are a new list member on moderation your job ad won't be allowed onto the list without this tag, and if you are not on moderation any job ad without this tag will be deleted by the moderators.

#### Be as specific as possible

Using vague phrases like "I have an opportunity at a high-profile Ruby company paying market rates" is likely to trigger a negative reaction in our members. You'll get much more respect if you provide as much detail as possible, including specifics about the company, what they do, and why they are hiring.

#### Tone

Make your email as friendly and informal as possible and explain why people would want to come and work for you. What's different about the project, what's exciting about it, etc…. The LRUG list gets a lot of job offer emails, so you want yours to stand out. For example, don't post your job ad; let people know you are hiring and why it would be interesting to work there and people can get in touch for more details.
